Privacy Policy
DetailProof ("DetailProof", "we", "our", or "us") makes a documentation tool for car detailers. We respect your privacy and we want you and your customers to trust how we handle data. This policy explains what we collect, how we use it, and the choices you have.
This policy applies to the DetailProof iOS app, our website at detailproof.app, and any related services (collectively, the "Service"). It does not cover third-party services that you choose to share data with.
1. Information we collect
Information you provide
- Account information. When you create an account we collect your email address, your name (or display name), and a hashed password. If you sign in with Apple we receive a stable opaque user identifier and, optionally, the name and relay email you choose to share.
- Business profile. If you fill in your business profile, we store the business name, contact name, phone number, email, address, and report disclaimer you enter.
- Job and customer information. When you create a job, you supply customer name, phone, email, vehicle year/make/model, license plate, VIN, service type, location, and any notes. You are responsible for collecting this information from your customers in accordance with applicable laws.
- Photos. When you capture or upload photos through the app, we store them on your device and (when you are signed in) sync them to our cloud storage.
- Customer signatures. If a customer signs on your device, we store the signature image and timestamp on the corresponding job record.
- Support communications. If you contact us we keep the messages you send and any attached files so we can respond.
Information collected automatically
- Device and usage data. Limited diagnostic data such as crash logs, timestamps, and version information may be collected through Apple's standard reporting frameworks. We do not run any third-party analytics or tracking SDKs in the iOS app.
- Cookies. Our website uses only essential cookies for navigation. We do not use advertising cookies.
Information we do not collect
- We do not track you across other apps or websites.
- We do not sell or rent your information.
- We do not use your photos or job data to train artificial-intelligence models.
2. How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Authenticate you and protect your account.
- Sync your jobs, photos, signatures, and reports across your devices.
- Process subscription payments through Apple's StoreKit (we do not see your card details).
- Run AI-assisted damage analysis on photos you submit, by sending them to our processing partner (see Section 4).
- Generate the PDF condition reports you create.
- Respond to your support requests.
- Detect, investigate, and prevent fraud or abuse.
- Comply with our legal obligations.
3. Legal bases (EU/UK users)
If you are in the European Economic Area or the United Kingdom, our legal bases for processing your information are: performance of our contract with you (to provide the Service you signed up for), our legitimate interests (operating and improving the Service, preventing abuse), your consent (where required, e.g. for optional features), and compliance with legal obligations.
4. Service providers we share information with
We use a small set of vetted service providers to operate the Service. These providers are bound to confidentiality and only process data on our instructions.
- Google / Firebase — authentication, cloud database (Firestore), and cloud storage. Photos and job data sync here so you can access them across devices.
- Anthropic — when you tap "Review All Photos with AI", we send the relevant photos to Anthropic's Claude API for damage detection. Anthropic processes the request and returns structured findings; per their commercial terms, they do not retain inputs or outputs for training.
- Apple — payment processing for subscriptions (StoreKit), Sign in with Apple, push notifications, and crash reporting.
- Vercel — hosting for our marketing website.
5. International transfers
Our service providers are primarily located in the United States. If you are accessing the Service from outside the United States, your information may be transferred to and processed in the United States and other countries where our providers operate. We rely on Standard Contractual Clauses or equivalent safeguards where required.
6. Data retention
We retain your account, job, photo, and report data for as long as your account is active. If you delete a job, the underlying photos and metadata are removed from your local device, our database, and our cloud storage. If you delete your account or request deletion, we delete your data within 30 days, except where we are required to keep records for legal, tax, or fraud-prevention purposes.
7. Security
We use industry-standard measures to protect your information: TLS in transit, encryption at rest in our cloud providers, scoped access rules so only you can read your records, and short-lived authentication tokens. No security control is perfect, and you remain responsible for keeping your account credentials confidential.
8. Your choices
- Access and correction. You can review and edit your profile, jobs, and business info inside the app.
- Deletion. Use the "Delete Job" action inside any job to remove it. Email support@detailproof.app to request deletion of your entire account.
- Export. Generate and share a PDF report from any job to export that job's contents.
- Sign-in providers. You can sign in with email/password or Sign in with Apple. If you use Sign in with Apple you can choose to hide your real email; Apple will provide a relay email that forwards to you.
- Camera, photo library, and location. The iOS Settings app lets you grant or revoke camera, photo library, and location permissions for DetailProof at any time.
If you are in California, the EEA, the UK, or another jurisdiction with applicable privacy rights (such as access, correction, portability, deletion, or objection), you can exercise those rights by emailing support@detailproof.app. We will respond within the timeframe required by your jurisdiction.
9. Children
DetailProof is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. Customer data on jobs
Detailers using DetailProof input customer information (name, phone, email, vehicle data, photos) into the Service. The detailer is the controller of that data, and DetailProof acts as the processor. Detailers are responsible for collecting any consents required by law before entering customer information, and for honoring customer rights with respect to that data.
11. Changes to this policy
We may update this policy as the Service changes or as the law requires. We will post the updated policy here with a new "Last updated" date and, for significant changes, notify you in-app or by email. Continued use of the Service after the change constitutes acceptance of the updated policy.
